Executive Assistant

JOB TYPE: PART TIME

ROLE
The Executive Assistant supports the daily administrative functions of Aletheia Church and assists leadership with various tasks. The Executive Assistant must fully embrace the vision and mission of Aletheia Church and be enthusiastic about contributing to their fulfillment.

DUTIES & RESPONSIBILITIES

The Executive Assistant is responsible for the following tasks. These duties may be adjusted as needed:

  • Ministry Operations

    • Oversees internal ministry operations, ensuring activities and processes align with the church's mission and vision.

    • Prepares and ensures the readiness of ministries/events for weekly execution.

    • Communicates with pastors about upcoming events.

    • Manages scheduling and keeps leadership informed of necessary calendar updates.

    • Oversees the effective execution of Sunday morning events and resources in collaboration with the Executive Pastor (XP).

    • Oversees the administration of all Aletheia church wide events that are outside of the scope and responsibility of a specific ministry. Note- much of this is coordination with teams and leaders.

      • Oversees the administrative responsibilities relating to facilities usage for events including ensuring that participants complete event forms accurately, reserving rooms for various ministry teams, communication with participants about facility care and procedures.

  • Communication & Marketing:

    • Works with the communications director on marketing and communication processes

    • Ensures deadlines on Asana are being met, and keep the XP abreast of hurdles 

    • Serves as the primary liaison of the church, and works alongside the pastors to ensure effective and loving communication takes place

  • Office Management:

    • Manages Aletheia’s office, including maintaining supplies, overseeing cleanliness, and handling daily mail distribution.

    • Keeps the email checked and responded to

    • Maintains the church-wide calendar and coordinates the Lead Pastor’s and Executive Pastor’s schedules.

    • Takes detailed meeting notes for staff meetings, family meetings, strategic planning sessions, and selected deacon/elder meetings.

    • Collaborates with ministry leads and the XP to develop meeting agendas and content for “The Weekly” email.

    • Reviews “The Weekly,” sermon notes, and other materials for accuracy and clarity.

  • Event & Travel Coordination:

  • Manages travel arrangements for staff, guest speakers, and visitors.

  • Acts as the primary liaison between Aletheia and external guests.

  • Proficiency in tools such as Google Drive (Docs, Sheets, Slides, Gmail, Calendar), Microsoft Office Suite, Asana, Slack, Planning Center, and ProPresenter.

DETAILS

WORK SCHEDULE

  • Monday – Thursday.: 9 a.m. – 12 p.m. (8-12 hours) (Expectation of three days in office)

  • Sunday: 8 a.m. – 12 p.m. (3-4 hours)

  • Total Hours: 12-15 hours per week
    Flexibility is required as the Executive Assistant may need to adjust hours based on event demands.

LOCATION

  • The primary work location is the Aletheia Church Building

  • Occasional remote work is required, with access to the internet from home or other suitable locations.

  • Some travel may be necessary for events and conferences, requiring the ability to be away from home for multiple days.


COMPENSATION

  • Salary: $13,000-$15,000/year 

  • This part-time role averages 12-15 hours per week, with additional expectations for service outside normal work hours when needed.


ADDITIONAL BENEFITS

  • Vacation: Paid vacation days and office closure days as determined by the XP.

  • Mileage Reimbursement: Mileage above standard commute distances will be reimbursed at the current IRS reimbursement rate.

  • Conference Costs: Aletheia will cover expenses for approved development conferences and church-wide retreats.


ADDITIONAL DETAILS

  • Intellectual Property
    All intellectual property created as part of the Executive Assistant’s duties is considered “work-made-for-hire” under the Copyright Act of 1976, and thus owned by Aletheia Church. The Church retains all rights to such materials.

  • Confidentiality
    The Executive Assistant may have access to confidential information and is expected to maintain strict confidentiality. This requirement extends beyond the duration of employment.

  • Employment Status
    Employment at Aletheia Church is “at will” and may be terminated or modified at any time, with or without notice, for any reason.
